Policies & Procedures
LUNCH
Please provide a healthy lunch with a full water bottle and an extra snack with your camper every day. We will be having busy days with lots of activity, so a lunch with lots of fuel for fun would be great!
SNACK
Camp will provide one afternoon healthy snack each camp day. Examples include watermelon, strawberries, apples, crackers, carrots, and pretzels.
FOOD ALLERGIES
Please let us know of any food allergies, as we will be serving snack and doing outdoor cooking every week.
SUNSCREEN
Please apply sunscreen in the morning before camp and pack some with your child. Make sure to label it with their name. Camp will remind campers at least twice during the day to reapply sunscreen. Campers are only allowed to apply sunscreen under the direct supervision of a staff member.
DISCIPLINE
We use positive discipline techniques at camp, using redirection and encouraging appropriate behavior. We use consistent and clear rules and boundaries. We will work with parents to find solutions when experiencing difficult behavior.
Camp LEAP reserves the right to dismiss any child due to circumstances that indicate the child’s needs can no longer be met, or if it is deemed that their behavior poses a physical or emotional threat to other campers or staff. Should any camper commit an act of violence against another camper or staff, the caregiver will be called and will need to pick that child up ASAP.
HEALTH AND WELLNESS
Don’t send a sick and contagious camper to camp. There is no refund for a sick day.
DROP OFF / PICK UP LOCATION
Southwest Community Park, Santa Rosa, Ca. 1698 Hearn Ave, Santa Rosa, CA 95407
LATE DROP OFFS AND PICK UPS
Please be on time to drop off and pick up your children. Camp starts at 9:00 AM. You must drop your camper off at 9am or they could miss the day of camp since we leave the drop off location for daily field trips for the day. If you are late to pick up your child in the afternoon, there will be a late charge of $1.00 per minute. The late charge must be paid at the time you pick up your child.
Please ensure that whoever picks up your child knows our location and parking procedures; they are listed in the confirmation email and on this website.
CAMP SCHEDULE — WHAT IF THE VAN IS LATE FOR PICKUP?
In the event we are running late for pickup, you will be texted our ETA. Safety is our top priority while driving your camper. We will try our best to stick to our schedule; however, should traffic or something come up…
ABSENCE
If your child will be absent from camp, please email or text us no later than 8:00 AM that morning. There are no refunds, credits, or make-ups for missed days.
FIRST AID
We have our first aid kit and are prepared. We will communicate injuries at pickup time. However, in the case of a suspected concussion, we will call the caregiver to give updates.
MEDICATIONS
All medications must be given to the camp director to keep during each camp day. A medication form must be filled out that gives clear directions for how and when to administer.
TRANSPORTATION PERMISSION
I grant permission for my child to be transported by Camp Leap’s authorized vehicles to and from camp activities and locations. I understand that all reasonable safety measures will be taken, and I release Camp Leap from liability related to transportation.
MEDICAL EMERGENCY
In the unlikely event that your child requires emergency medical treatment, our policy is to call the parents and then take them to the nearest emergency room or urgent care. In the case of an emergency being life threatening, camp will stop where they are and call 911 to wait for emergency services. Parents are responsible for paying any medical expenses incurred while your child is at camp. By registering for Camp LEAP online, you have agreed to our emergency procedures.
My child has permission to participate in the activities of Camp LEAP. I hereby consent to any medical treatment deemed necessary in the event of an emergency. I understand I am responsible for paying any medical expenses incurred while my child is at camp. Camp LEAP and its staff shall not be held liable for any accidents that may occur while my child is at camp or any actions taken during emergency or medical procedures. I understand that Camp LEAP is a completely mobile day camp. Camp LEAP has my permission to use any photos and videos taken during camp for promotional purposes.
SUMMER CAMP REFUND POLICY
With the exception of a $100 cancellation fee per week, the remaining tuition is refundable until May 23rd. After May 23rd, we may offer credit for a future purchase, determined on a case by case basis, minus $100 cancellation fee.
If the credit for cancellation is not approved by our director, then there are no refunds, make-up days, or credits for any reason, including illness, withdrawal, dismissal, weather, natural disasters, or pandemics.
If you miss any days in that session, they are not available for refunds or credits. (No exceptions).
